Create a pipeline and move a deal

Add a deal funnel with its own stages, show it on the Deals board, and move deals from stage to stage until they are won or lost.

A pipeline is the sequence of stages a deal goes through, from first contact to won or lost. In APROS a pipeline is called a funnel. Every workspace starts with one deal funnel; you can add more, for example one for wholesale and one for retail, each with its own stages.

Before you begin

PermissionWhat it allows
MANAGE_DEAL_STAGESCreate deal funnels, and add, change, reorder and delete their stages. Administrators, Directors and Department Heads have it.
CREATE_DEAL, UPDATE_DEALCreate deals and move them between stages. Employees have these for the deals they own.
DELETE_DEALDelete deals. Employees don't have it.

Deals and funnels belong to the Sales module.

1. Create a funnel

MANAGE_DEAL_STAGES
  1. In the sidebar, click CRM, then the Deals tab.

  2. Click the gear icon (Settings) at the right of the page header. Pipeline Configuration opens. You see the gear only if you have MANAGE_DEAL_STAGES.

  3. Click Add funnel, type a Name, for example Wholesale, and click Create. Funnel names must be unique among your deal funnels.

The new funnel is now selected in the Funnel field of the panel. It starts with one stage, New.

Administrators can open the same settings from Settings → System → Reference Data → Deal Pipeline.

2. Add the stages

  1. With your funnel selected in Funnel, click Add Stage.

  2. Fill in the Stage Name, pick a Color, and set Probability (%) — the chance, from 0 to 100, that a deal at this stage is won.

  3. For the stage where deals end as won, select Mark as Won stage. For the stage where they end as lost, select Mark as Lost stage. Then click Create Stage.

  4. Repeat for every stage. New stages are added at the end; drag a stage to change the order.

Each change applies as soon as you confirm it in its dialog. To change a stage later, click its pencil icon (Edit Stage), then Save. To delete a stage, click its trash icon (Delete Stage). If deals are on that stage, choose where to move them in Move items to: before you can delete it.

A deal takes its stage's probability when it enters the stage. If you change a stage's probability later, deals already on it keep their value until they move.

Archive stage marks a stage for closed deals you want off the board: only a won or lost deal can be moved onto it, a deal can't be created on it, and the board doesn't show it as a column.

3. Show the funnel on the board

Close Pipeline Configuration. When you have two or more deal funnels, a funnel switcher appears at the right end of the bar above the board. Pick your funnel: the Kanban columns, the List view, the Open, Won and Lost counters and the column totals all follow it. APROS remembers the choice in this browser.

On the Kanban board, every open stage is a column. Won and lost stages get a column only when they hold deals.

4. Add a deal

  1. Click Create in the header, or the + at the top of a column to start the deal on that stage.

  2. Fill in the Deal title, Stage and Amount (all required) and anything else you know, such as the company, contact and Responsible.

  3. Click Create. The deal is created in the funnel shown on the board, and its card opens.

5. Move the deal

To the next stage: on the Kanban board, drag the card to another column. APROS saves the move and shows Deal stage updated.

To won or lost: start dragging the card. Three areas appear at the bottom of the screen — Delete, Mark Lost and Mark Won. Drop the card on Mark Won or Mark Lost. You can also open the deal and click Won, or open the ⋯ menu → Mark Lost, and confirm.

Dropping a card on Delete deletes the deal at once, without asking.

When a deal is won or lost, APROS:

  • sets its status to Won or Lost and records the close date;
  • sets its probability to that of the won or lost stage;
  • adds the event to the deal's history and notifies the deal's owner;
  • keeps the deal on the board, in the won or lost column.

To reopen a closed deal, move it back to an open stage. Closed deals stay on the board until you archive them: in the List view, use Archive on a closed deal. The Archive badge above the board shows archived deals, and Restore brings one back.

If you have more than one deal funnel

In a funnel other than the default one:

  • The stage bar on a deal's card, its Stage field and the Stage column in List offer the stages of the default funnel, so choosing a stage there moves the deal into the default funnel. Move deals by dragging them on the board instead.
  • Mark Won, Mark Lost and the Won button move the deal to a won or lost stage that may belong to another funnel.
  • When you create a deal, keep the stage the form suggests, or use the + on the column you want.

In the app you can create funnels, but you can't rename them, delete them or change which one is the default.

Lead funnels

Leads have their own funnels, set up the same way from the gear on the Leads page. Managing them needs MANAGE_LEAD_STAGES.
